An iCompleat administrator needs to set up Integrated Online Buying before users in their iCompleat company can use Integrated Online Buying to place orders and receive invoices.
Integrated Online Buying lets you shop online with your favourite suppliers, then submit your shopping basket for approval in iCompleat. Fully approved orders are automatically submitted to your suppliers, and your invoices are automatically sent to iCompleat for processing.
Follow these steps to create an order using Integrated Online Buying.
Method 1 - From the homepage
Your supplier's logo on the iCompleat homepage lets you instantly create an order with them.
Follow these steps to see how to shop with your suppliers from the homepage. We're shopping with Amazon Business in this example.
- On the homepage, select Amazon Business.
- The Amazon Business popup window appears.
Select a product category, or enter a specific item in the search bar, and then select the Search button. - Amazon Business opens.
- Browse and add items to your shopping basket as normal.
When you're finished, go to your shopping basket and select Submit these items for approval. - Amazon is sending your shopping basket to iCompleat.
- The iCompleat order editing page appears.
The order title is automatically generated, but you can edit this and other header fields such as delivery address and date by selecting Edit in the light blue Header ribbon.If an iCompleat administrator has enabled manual address entry, you can enter a new delivery address you've not used before. You need to do this in iCompleat, rather than your Amazon Business account. Go to Send an order to an address not in your address book to find out more.
- Select a line item to enter any missing codes, such as VAT and Account codes.
To return to Amazon Business at any time to add more items to your order, select Edit in the light blue Header banner, then select Buy Online. Your existing order items won't appear in your Amazon Business shopping basket if you return to Amazon Business during editing the order, but will still be in the order when you return to iCompleat.
- Select Save.
- When you're ready to submit the order for approval, select a workflow.
- When the order is fully approved in iCompleat, it moves to your Submitted tray, and a tick icon appears next to the order in the right-hand column.
Hover over the tick to see details of the order being sent electronically to Amazon Business.
Method 2 - From the order screen
The Buy Online button on the ordering screen lets you head straight to your supplier after filling in other header information.
Follow these steps to see how to shop with your suppliers from the order screen. Again, we're shopping with Amazon Business in this example.
- On the homepage, select Create a new order.
- Enter a title for your order, then click Create.
- Select Amazon Business from the Supplier drop-down.
- Select Buy Online.
- Amazon Business opens.
- Browse and add items to your shopping basket as normal.
When you've finished, go to your shopping basket, and select Submit these items for approval. - Amazon is sending your shopping basket to iCompleat.
- The iCompleat order editing page appears. Edit the header fields, such as delivery address and date, by selecting Edit in the light blue Header ribbon.
