Ensure invoices post to the correct open posting period in Sage 200
A posting period is a period of time allocated to process invoices. You can configure specific posting period settings to ensure your invoices post to the correct open posting period in Sage 200.
Here's how.
1. Adjust the posting date behaviour setting
The Posting date behaviour setting determines how iCompleat handles invoices containing a posting date that falls within a closed posting period.
The options are:
- No adjustment
- Force to next open period - iCompleat checks open periods within the current financial year and posts to the first one it finds. For example, if July and August are open, July would be picked. This means that iCompleat can force to post to an open period in the future if it's the first one available.
- Force to current period iCompleat grabs the current date (today) and posts to that date. It does not check the open periods.
To adjust the Posting date behaviour setting, follow the steps below.
If you only want this setting to apply for one invoice on a single occasion only, simply change the behaviour setting back to its original configuration after you've carried out other steps in iCompleat to get the invoice posted.
- On the homepage, click Configuration.
- Click Company.
- Go to Behaviour Settings.
- Find Posting date, and click Change.
- Select one of the actions from the drop-down, and click Save.
-
iCompleat now knows what action to take when an approved invoice contains a posting date that falls within a closed posting period.
2. Configure the posting date layout field
In your iCompleat invoice layouts, you can configure a Posting Date field to appear on invoices. This is an editable field that AP operators can edit if necessary when they're processing an invoice.
You can choose one of the following settings for the Posting date field:
- At Header level
- Off
- Optional or mandatory
This setting works in partnership with the Posting date behaviour setting. AP operators can edit the posting date field on invoice headers so that they'll post to Sage 200 according to the Posting date behaviour setting your company has in place.
To configure the Posting date layout field, follow the steps below.
- On the homepage, click Configuration.
- Click Layouts.
- Select the invoice layout you'd like to configure the Posting date field for.
- Go to the Field Configuration tab.
- Next to the Posting date field, select a setting from the drop-down.
- Turn the toggle on to make the Posting date field mandatory on the layout. Leave it off to make the Posting date field optional.
- Click Save Layout.
-
You've configured if and where the Posting date field appears on invoices posted to Sage 200.
