Processing invoices from new suppliers doesn’t have to be a chore.
iCompleat offers you the option to quickly add new supplier details to the iCompleat system during the invoicing process itself. This eliminates the need to switch back to your finance system to add a new supplier, then wait for iCompleat to calibrate the new supplier information before you can begin processing an invoice.
To add a supplier in this way, you first need to activate the permission to allow the creation of suppliers in the finance system. Here’s how:
You need administration rights in iCompleat to activate this permission.
On the iCompleat homepage, click 'Configuration'.
Click 'Company management'.
Click 'Behaviour Settings'.
Click the 'Allow creating suppliers in finance system' toggle so that 'Yes' is highlighted.
Add a new supplier
Now that the creation of suppliers permission is activated, you can simply add a supplier to the system as and when an invoice from a new supplier drops into the Unprocessed tray. Here’s how:
On the iCompleat homepage click 'Manage invoices'.
The Unprocessed tray appears by default.
Select an invoice from a new supplier.
In the bottom-right corner click 'Edit'.
Alternatively, click the pink Header banner to go to the invoice editing page.
A blue banner appears asking you to select a supplier or add a new supplier to your finance system.
Click anywhere in the blue banner.
Enter a Supplier Code.
This should be short and relevant to your supplier name.
The supplier name is already suggested for you, but you can change this if you wish by typing in the Supplier Name box.
Your new supplier is added to your finance system and available for you to select and map to your supplier defaults.
See a list of added suppliers
You can see a list of all the suppliers you have successfully added by going into your finance system, or directly to the Reference Data area in iCompleat. Here’s how:
On the iCompleat homepage, click ' Configuration'.
Click ' Reference Data'.
An editable worksheet listing all of your suppliers appears.
