Get your fully approved invoice data in Excel format
You can quickly download batches of fully approved invoices to an Excel spreadsheet. If you need to, you can then upload the data from this spreadsheet to your accounting software. Each invoice batch in iCompleat can have a unique description in iCompleat to help you keep a detailed record of your downloads.
Once you've downloaded a fully approved invoice as part of a batch, that invoice can't be downloaded as part of another batch. Each invoice batch you create and download includes all the fully approved invoices in iCompleat since your last invoice download.

Follow the steps in this guide to download invoices from iCompleat and customise your download.
If you're an iCompleat administrator, go to Manage users to give individual users access to Invoice download.
Download invoices using Invoice download
You'll only have access to the Invoice download tile on the homepage if you're using iCompleat's Universal connector and your iCompleat administrator has granted you access to Invoice download in your user permissions.
- On the homepage, click Invoice download.
- A message lets you know how many fully approved invoices are available to download.
Enter a batch description and click Create New Batch.
- When your invoice batch details appears, click Download on the right.
- Open the downloaded batch from wherever your downloaded files are stored on your PC.
You can come back to the Invoice download page at any time and download the batch again - just click Download next to the invoice batch.
- Your invoice batch opens in Excel and is ready to upload to your accounting software.
Edit your invoice download format
You can alter the order of the data and columns in your invoice download layout to suit your requirements.
It's really easy to do - just follow these steps.
This customisation works on a company level. If you're an admin of multiple companies, you'll need to customise the download layout within each company.
- On the homepage, click Invoice download.
- Click Edit invoice download format.
- Click the three dots beside any column name to access the Columns option, where you can check and uncheck the columns you'd like to include in invoice downloads.
The Set column position within the same menu lets you move a column left or right.
You can also click and drag columns manually.

Click Save Configuration to apply your changes.

Click Close to return to the invoice download area.
- Any future downloads will now follow the layout you just saved.
To return to the default data layout at any time, click Edit invoice download format and then click Reset Configuration
Give users access to Invoice download
If you're an iCompleat administrator, you can give other users access to Invoice download by switching on the feature in their user permissions.
Follow these steps to see how.
- On the homepage, click Configuration.
- Click Users.
- Select a user.
- Go to Global permissions and switch on the Access to download approved transactions toggle.
- Click Update user.
