If iCompleat is connected to your accounting software, fully approved invoices in iCompleat post automatically to your accounting software. If you're using iCompleat's Universal Connector, however, you'll need to use the Invoice download feature to download your invoices & then upload them to your accounting software manually.
Invoice download lets you download all fully approved invoices in iCompleat as a batch to an Excel spreadsheet. You can then upload the data from this spreadsheet to your accounting software. You can give each invoice batch a unique description in iCompleat to help you keep a detailed record of your downloads.
Once you've downloaded a fully approved invoice as part of a batch, that invoice can't be downloaded as part of another batch. Each invoice batch you create & download includes all the fully approved invoices in iCompleat since your last invoice download.

Follow the steps in this guide to download invoices from iCompleat & customize your download.
If you're an iCompleat administrator, go to Give users access to Invoice download to switch the feature on for certain users.
Download invoices using Invoice download
You'll only have access to the Invoice download tile on the homepage if you're using iCompleat's Universal connector & your iCompleat administrator has granted you access to Invoice download in your user permissions.
- On the homepage, click Invoice download.
- A message lets you know how many fully approved invoices are available to download.
Enter a batch description & click Create New Batch.
- Click Yes to download an Excel spreadsheet of your invoice data now.
Clicking No will save the invoice batch for you to download later.
- Open the downloaded batch from the bottom of your browser.
You can come back to the Invoice download page at any time & download the batch again - just click Download next to the invoice batch.
6. Your batch opens in Excel & is ready to upload to your accounting software.
Customize your download layout
You can alter the order of the data & columns in your download layout to suit your requirements.
It's really easy to do - just follow these steps.
This customization works on a company level. If you're an admin of multiple companies, you'll need to customize the download layout within each company.
- On the homepage, click Invoice download.
- Click Edit invoice download format.
- You now have two options for how to organize your data.
Option 1: Click & drag to order the columns.
Option 2: Use the hide & show options to remove any data columns. - Click Save Configuration.
- Well done!
You've customized your download file. Any future downloads will now follow the layout you just saved.
To return to the default data layout at any time, click Reset Configuration
Give users access to Invoice download
If you're an iCompleat administrator, you can give other users access to Invoice download by switching on the feature in their user permissions.
Follow these steps to see how.
- On the homepage, click Configuration.
- Click Manage users.
- Select a user.
- Go to Global permissions & switch on the Access to download approved transactions toggle.
- Click Update user.
