You may sometimes want to assign a specific layout to invoices and credit notes that meet a certain criteria, like being from a particular supplier, or above a certain net total. This could be because you want to have a record of those invoices in iCompleat, but prevent them being posted to your connected finance system. Or, you may simply wanted to gather different analysis information from certain invoices.
To achieve this, you can simply set up a custom rule or event.
The following video and steps show you how.
In this example, we show you how to set up a rule that will tell iCompleat to apply a specific layout to all invoices or credit notes that arrive in the system from a specific supplier.
Click 'Manage Events'.
In the transaction type drop-down, select 'Invoice and credit notes'.
In the event type drop-down, select 'A transaction has been received by the system'.
Select 'Apply Custom Rules to this Transaction'.
Click the 'Add a Rule set' button.
Enter a name for your rule.
In the condition field drop-down, select a field that will have the rule applied to it.
For this example, we are choosing 'Supplier'.
Select the type of condition to apply.
For this example, we are choosing 'is equal to'.
Select the 'value' of the field.
As we chose 'Supplier' as the condition field, the value drop-down contains a list of suppliers in the system.
Click 'Add' to configure the Header actions.
Select the layout you want to use.
The layout is, and is listed in the Rules Editor, with the black tick in the right-hand column indicating that the rule is active.
