All the actions you can take in every matching scenario
When certain matching statuses appear against invoices and orders, you can take action from the tray to resolve them and ensure a correct match can be made.
This includes being able to undo an incorrect match, close orders for matching so that no more invoices can be matched to them, manually find a PO in iCompleat to match to an order, and ask iCompleat to perform matching on individual invoices in the tray.
In this article we explain the different matching status actions available to you, and show you when and how to use them.
Find a PO
What it does
The Find a PO button lets you search for a PO in iCompleat to match to an invoice.
Matching statuses it's available for
- Supplier mismatch
- Invoice duplicate
- No PO match
- No PO reference
- Pending
- Please select supplier
- None (orders)
How to use it
- Next to the invoice's matching status in the tray, click the green grid icon.
- A pop-up appears displaying the matching information.
In the bottom-right, click Find a PO.
- A list appears of unmatched POs in iCompleat for the supplier on the invoice.
Browse the list, and click the PO to match to the invoice.
Select another supplier from the drop-down at the top to view unmatched POs from that supplier.
- In the bottom-right, click Match.
- A pop-up appears asking you to confirm your choice.
Click Match again.
- The invoice is now matched to the PO you selected, and a notification in the bottom-right of the tray displays the new matching status after matching.
Close for matching (order action)
What it does
The Close for matching button lets you prevent iCompleat from being able to match any future invoices to an order.
Matching statuses it's available for
Any order status aside from Matched
How to use it
- Next to the order's matching status in the tray, click the green grid icon.
- A pop-up appears displaying the matching information.
In the bottom-right, click Close for matching.
- A pop-up appears with a text entry box.
Type your reason for closing the order for matching.
This will appear on the order's Documents and Timeline page.
- In the bottom-right, click Close.
- The order's status is now Closed for matching, and a notification appears in the bottom-right of he order tray confirming it.
Reopen for matching (order action)
What it does
The Reopen for matching button lets you make an order available for matching that has been previously closed for matching.
Matching statuses it's available for
The Closed for matching order status.
How to use it
- Next to the order with the Closed for matching status in the tray, click the green grid icon.
- A pop-up appears displaying the order's matching details, including when the order was closed for matching, and by which user.
In the bottom-right, click Reopen for matching.
- A pop-up appears asking you to confirm your decision to reopen the order for matching.
Click Yes.
- The order has been reopened for matching and iCompleat automatically performs matching again to update its status.
A notification in the bottom-right of the order tray confirms your action.
Perform matching
What it does
The Perform matching button makes iCompleat to perform matching on the selected order or invoice. iCompleat will perform matching on that invoice only, applying the matching criteria you have set up for your company.
It's useful if you have edited an invoice and would like iCompleat to perform matching again now that the details are different. It's also useful if your iCompleat Administrator has recently updated your company's matching settings and you'd like iCompleat to perform matching on individual transactions based on the new criteria.
Matching statuses it's available for
Any invoice status aside from Matched.
How to use it
- Next to the invoice's matching status in the tray, click the green grid icon.
- A pop-up appears displaying the matching details.
In the bottom-right, click Perform matching.
- The matching status of the invoice updates, and a notification in the bottom-right of the tray confirms it.
Undo match
What it does
The Undo match button un-matches an invoice from an order, leaving both the order and the invoice open to be re-matched. After being unmatched from an order, an invoice's matching status is Pending.
There are a few reasons you might want to undo a match, like the match is incorrect, or the invoice or order involved needs to be queried.
Matching status it's available for
Any matching status where an invoice has been matched to an order.
How to use it
- Next to the invoice's matching status in the tray, click the green grid icon.
- A popup appears showing the matching details.
In the bottom-right, click Undo match.
- A pop-up appears with a text entry box.
Enter your reason for undoing the match.
This will appear on the invoice's Documents and Timeline.
- Click Ok.
- The invoice is unmatched from the order.
The order's matching status is now None, and the invoice's matching status is now Pending.
A notification in the bottom-right of the invoice tray confirms the un-matching has been successful.
Delete invoice
What it does
The Delete button sends an invoice to the Deleted tray, where it cannot be processed or matched.
Matching statuses it's available for
- Invoice duplicate
- No PO match
How it works
- Next to the invoice's matching status in the tray, click the green grid icon.
- A pop-up appears displaying the matching information.
In the bottom-right, click Delete.
- A pop-up appears with a text entry box.Enter your reason for deleting the invoice.This will be displayed on the invoice's Documents and Timeline.
- Click Delete.
- You've successfully delete the invoice, and it's now in your Deleted tray.
A notification appears in the bottom-right of the invoice tray confirming the invoice has been deleted.
